Ecommerce automation, with no order retyped by hand

An order that reaches accounting by itself. Stock that updates from the supplier. An email that tells the customer where the parcel is. Across the four stores we run, these are routine steps that happen without anyone retyping anything.

Case · store, ads and email together

Simak Keramika: 548 products in three languages, with nothing repeated by hand

  1. Starting point

A catalog of 548 products across 31 categories, in three languages. The steps around orders and email were repeated by hand.

  2. What we did

We rebuilt the store, starting with the category structure, connected the ads and the email, and automated the repeating steps.

  3. Result

Email now runs as ten campaigns a month at 99.89 percent deliverability, ads across three channels with measurement in place, all with one point of contact.

What repeats in the store every day

Four sentences we hear almost every week

A store that runs well is not the one with the most products. It is the one where nobody retypes anything after an order.

01

We retype every order into accounting

Ten orders a day is an hour of retyping. A hundred orders is a job.

02

The stock on the site is wrong

The supplier sends a spreadsheet and we move it across by hand. In between we sell what is not there.

03

Customers ask where the parcel is

The answer sits in the courier system and the question sits in our inbox. Every day again.

04

An abandoned cart stays abandoned

Anyone who added a product and left hears nothing back. That is the cheapest sale there is, and we do not make it.

If one of those sounds familiar, we deal with it on the intro call: fifteen minutes, no obligation.

What happens after one order once everything is connected

  1. Orderthe customer pays
  2. Invoicecreated in accounting
  3. Stockdrops at the supplier too
  4. Notificationto the customer, with tracking
  5. Reportin the morning email

What we connect

Store, accounting, shipping and email, joined into one process

We connect WooCommerce to the accounting software, to shipping (DPD, Posta Slovenije, GLS), to payments (Stripe, ellypos, bank transfer) and to email. At Simak Keramika, ten campaigns and 2,690 messages go out at 99.89 percent deliverability with nothing sent by hand. Whatever does not run by itself is a bottleneck that grows with your sales.

Stock from supplier spreadsheets or an API
Abandoned cart and post-purchase email
Delivery notifications with tracking

From the inventory to a store that runs itself

Four steps from the inventory to processes that run themselves

  1. 1

Recording what is done by hand

We follow one order from payment to invoice and write down every manual step. That is the list.

  2. 2

    Connections

We connect the store to accounting, shipping, stock and email. Where there is no API we find a workaround, and we say so in advance.

  3. 3

    A pilot on real orders

For a few days the old and the new process run side by side, so you can see whether the numbers match.

  4. 4

    Handover and oversight

You get documentation of what runs by itself, what does not yet, and who to tell if it stops.

If the inventory shows automation is not worth it at your scale, we say so before the proposal.

What automation does not fix

Automation will not sell a product that is out of stock

A connected system only shows the truth faster. If the stock figure is wrong at the supplier, it will be wrong on the site. So we fix the source of the data first and the connection second.

Abandoned cart and post-purchase email only work if consent and the privacy policy are in order. That is not a detail, it is a condition.

When a store sells badly, automation does not help. What is needed then is store optimization , and we say so instead of wiring systems around the problem.

What gets automated in a store most often

  • Invoicescreated on payment
  • Stock levelsfrom the supplier, no retyping
  • Abandoned cartand post-purchase email
  • Shippinga notification with tracking

What sets the price

What ecommerce automation costs depends on this

Work is billed at 35 EUR per hour or by proposal. How many hours a process takes is decided by the points below, which is why we run the inventory before quoting.

The form below asks about exactly these things. The more you tell us, the more precise the proposal will be. Indicative prices for every service are on the price list.

Why Aithena

Five reasons, and the first is that we run stores ourselves

Plenty of agencies sell ecommerce automation. Few of them run a store of their own.

01

We run four stores and know where it snags.

Simak Keramika with 548 products in three languages, Maveron Fashion with more than 300, Fogy Tartufi in two languages, Gigablock in three. All on WooCommerce. What we build for you is running on our side too.

02

The email that runs itself is measured.

At Simak Keramika: ten campaigns, 2,690 messages and 99.89 percent deliverability. Clicks in the Slovenian segment rose 38 percent. The numbers come from the client report.

03

The data source first, the connection second.

A connected system only shows the wrong stock figure faster. So we first sort out where the figure comes from.

04

One party responsible.

The store, the email, the accounting integration and the ads with one point of contact. When it snags, there is no argument about whose fault it is.

05

We say when it is not worth it.

At ten orders a month, automation does not save enough. We say so before the proposal, not after three months of invoices.

Send us the link to your store and tell us how many orders you get a month. On the call we say which process pays off soonest.

Aithena helped me with the online store and the advertising. They showed clearly what supports sales, what needs improving, and how to present the products to the market.

What you receive

After the work orders run with nothing retyped.

Order, stock, accounting and the notification to the buyer are one flow, not four manual steps.

01

Immediately

The order path reviewed

We follow one order from purchase to invoice and mark where the manual work appears.

02

During the work

The store connected to the software

We connect the store to stock, to accounting and to the buyer notifications.

03

At handover

Fewer mistakes and fewer questions

The buyer is notified automatically and you keep the hours that went into retyping.

Fit

Let us also say when it is not worth it

We would rather tell you openly when a service is not right for you than have you spend money on something that will not work.

Good fit

Worth doing if

  • you retype orders into accounting or the warehouse
  • the stock on the site is not always right
  • buyers often ask where the parcel is

Wrong timing

Wait if

  • there are a few orders a month and the manual work is no burden
  • the store is about to move to another platform
  • the software cannot be connected and you do not want to replace it

Questions

Short and clear answers

Answers to the questions we hear most often before an engagement starts.

Orders moved into accounting, stock updated from suppliers, abandoned cart and post-purchase email, delivery notifications with tracking, products imported from spreadsheets, and morning reports. We start with whatever costs you the most time.

With most of them, as long as they offer API access or a file import. On the intro call we check your software and say what is possible and what is not.

No. We work on the WooCommerce you have. If the store is on another platform, we look at it and tell you whether we can help.

It depends how much manual work each order carries. At a few orders a week it usually does not pay off, and we say so before the proposal.

Work is billed at 35 EUR per hour or by a proposal based on the inventory. The price is set by the number of systems, suppliers and shipping methods. Indicative prices are on the price list.

Yes, provided consent and the privacy policy are in order. We set that up together with the email, because without it sending is not allowed.

You get an alert, a log and a note on what to do. We do not want to be the only ones who know how it works.

Book a call

Tell us where you are and we will set up a call

The intro call takes about fifteen minutes. We look at your situation and say what is worth doing first.

You receive an itemized proposal the same or at the latest the next working day after the call, not a week later with different numbers. If we judge that the service is not worth it for you, we say so before the proposal.

  • We reply every day between 9:00 and 21:00 Central European Time
  • No lock-in and no subscription to talk
  • If we cannot help you, we say so straight away
