AI agents that take over the work that repeats

An AI agent is not a chatbot with pleasant answers. It is a system that reads a request, finds the record in your systems, prepares the reply, and either sends it or leaves it for a person to approve.

What we hear on the first call

Four sentences we hear almost every week

Nobody calls because of artificial intelligence. They call because the same questions and the same steps take hours out of every day.

01

We answer the same questions ten times a day

Opening hours, stock, where an order is. The answer never changes and the time goes every single time.

02

Inquiries wait until morning

Someone who writes at nine in the evening hears back the next day. By then they have written to two competitors as well.

03

The answer is spread across three systems

Before we can reply we check the store, the inbox and a spreadsheet. All the customer sees is that it takes a while.

04

The last chatbot gave wrong answers

It did not know our prices or our process, so it invented things. We switched it off after a month.

If one of those sounds familiar, we deal with it on the intro call: fifteen minutes, no obligation.

How an agent handles one request

  1. Receivesa message, a chat or a form
  2. Looks upthe record in your system
  3. Draftsa reply in your tone
  4. A person approveswherever money or a promise is involved
  5. Sends and logseverything stays on the record

What an agent can take over

An agent that knows your prices, your stock and your process

We connect the agent to your data: the store, the calendar, the price list, the documents and the inbox. It answers only from what we give it, and when it does not have the answer it says so and hands over to a person. For one wellness client we built a chat assistant on the site; for a four-star hotel we built a custom AI platform for work no off-the-shelf tool covers.

Customer answers on the site, by email and in chat
Capturing and sorting inquiries
Draft quotes and replies for approval
Search across your documents and procedures
Bookings and appointments under your rules
A log of everything the agent did

From the inventory to an agent that runs

Five steps from the inventory to an agent you trust

  1. 1

    Inventory of questions and tasks

We collect what customers ask and what your people answer. That shows what is actually worth taking over.

  2. 2

    Connection to your data

Price list, stock, calendar, documents. The agent gets that and nothing else.

  3. 3

    Rules and limits

We write down what it may do alone and what goes to a person. The limit is written, not agreed verbally.

  4. 4

    A pilot alongside your people

For a few days the agent drafts replies that your people review before anything goes out.

  5. 5

    Launch and oversight

You get a log and a weekly summary of what it did and where it handed over.

If the inventory shows an agent will not save enough at your company, we say so before the proposal.

What an agent is not

An agent is not an employee and does not replace judgment

An agent is excellent at tasks with clear rules and poor at judgment. So discounts, promises and complaints stay with a person, and the agent prepares everything that person needs in order to decide.

We do not build an agent that browses the web and improvises. It is tied to your data. When it does not have the answer it says so and hands over. A chatbot that answers everything eventually answers wrongly.

When the process is not in any system yet, the step before an agent is digitalization. An agent without data has nothing to answer from.

Where an agent most often takes work over

  • Customer questionson the site, by email, in chat
  • Sorting inquirieswho, what, how urgent
  • Draft quotesa person approves and sends
  • Appointments and bookingsunder your rules

What sets the price

What an AI agent costs depends on this

Work is billed at 35 EUR per hour or by proposal. How many hours an agent takes is decided by the points below, which is why we run the inventory before quoting.

The form below asks about exactly these things. The more you tell us, the more precise the proposal will be. Indicative prices for every service are on the price list.

Why Aithena

Five reasons, and the first is that we do not sell an agent to everyone

AI gets sold as magic. We would rather say where it works and where it does not.

01

First we tell you whether you need one at all.

If there is not enough repetition at your company, an agent will not save enough. We say so on the intro call, even when it means a smaller project for us.

02

The agent is tied to your data.

It answers from the price list, the stock and the documents we give it. When it does not have the answer, it hands over. That is how it avoids inventing.

03

Measured, not estimated.

At one client, process automation removed roughly 90 hours of manual work per month. That figure comes from timing the tasks before and after. We measure agents the same way.

04

The team is n8n certified.

We build agents on tools we can maintain, with documentation, so we are not the only ones who know how it works.

05

Everything stays yours.

Accounts, access and data are in your name. If the engagement ever ends, the agent stays with you.

On the intro call we write down the three questions you hear most often and say whether an agent can take them over.

What you receive

After the work the agent drafts the replies, and you approve them.

An agent does more than advise in a conversation. It connects to your data and carries the step through to the end.

01

Immediately

Choosing the first task

We pick one task that repeats every day and set the limits the agent must not cross.

02

During the work

An agent on your data

It answers from your documents and systems rather than from general knowledge, so it does not guess.

03

At handover

The task taken over, with oversight

You see what the agent did, where it handed over, and how much work it actually took on.

Fit

Let us also say when it is not worth it

We would rather tell you openly when a service is not right for you than have you spend money on something that will not work.

Good fit

Worth doing if

  • you answer the same questions every day
  • the knowledge is written down somewhere an agent can read
  • you want a clear line between what the agent does and what a person does

Wrong timing

Wait if

  • the information is not written down anywhere
  • you expect the agent to make decisions for you
  • the process is so rare that there is no saving in it

Questions

Short and clear answers

Answers to the questions we hear most often before an engagement starts.

A chatbot answers. An agent also finds the record in your system, prepares a draft, sends it or leaves it for approval, and logs everything. The difference is that an agent finishes the task.

Not if it is tied only to your data and hands over whenever the record is missing. That is how we build it and how we test it before it goes live.

Discounts, promised deadlines, complaints and anything that carries responsibility. The agent prepares everything needed for the decision; the person makes it.

A first agent for one task takes a few weeks, depending on how many data sources have to be connected and whether API access exists.

Work is billed at 35 EUR per hour, or by a proposal that comes out of the inventory. The price is set by the number of data sources, channels and decisions that go to a person. Indicative prices are on the price list.

You get the log, an alert on failure, and an explanation of what to do. We do not want to be the only ones who know how it works.

The agent processes only the data it needs, everything it did is logged, and the processors are named in the privacy policy. Where we process your customers’ data for you, the two sides conclude a data processing agreement.

An AI chatbot answers questions; an AI agent carries the task through. The agent connects to your data and systems, so it can capture an inquiry, record it in the CRM and prepare the reply rather than only advising in a conversation. The chatbot is one part of it; the agent is the whole process.

Book a call

Tell us where you are and we will set up a call

The intro call takes about fifteen minutes. We look at your situation and say what is worth doing first.

You receive an itemized proposal the same or by the next business day at the latest after the call, not a week later with different numbers. If we judge that the service is not worth it for you, we say so before the proposal.

  • We reply every day, 9 a.m. to 9 p.m. Central European Time (3 a.m. to 3 p.m. Eastern)
  • No lock-in and no subscription to talk
  • If we cannot help you, we tell you right away
